Chemeketa Community College welcomes applications for a full-time Department Assistant

Position Summary
Embraces diversity and actively collaborates effectively with a variety of students, staff and the public from diverse cultural, social, economic and educational backgrounds
Actively participates in the retention and recruitment of students
Embraces appropriate technology tools to accomplish job functions; understands and utilizes available technology as communication and data gathering tools
Actively pursues continuous improvement and workplace organizational practices in a team environment to provide effective, high-quality services to both internal and external customers; May be asked to learn and adopt Lean practices
Intakes and verifies forms for completeness and accuracy according to college guidelines; stamps, sorts, distributes, images, indexes, copies, and files as required; keeps current on policies, procedures, and implementation
Registers student through an integrated student system; processes add/drops, in-class registrations, workshop conference registrations, tutor lab registrations; makes necessary referrals for authorizations and cohort coding each student
Assists with grade monitoring; processes grade changes, audit requests, pass/no pass request, verifies outgoing transcripts; processes petition for exception to college policy; processes enrollment verifications; prepares summary reports
Communicates with contracting partners regarding student procedures, registrations and fees
Researches problems with student or accounting records and makes correcting entries as appropriate to ensure accuracy
Provides general college and specific departmental information by phone, fax, mail, email, print, and in-person to students, staff and public; assists with clerical tasks; determines if referral is appropriate and directs to resources and resource person as needed; contacts other departments for necessary information
Trains part-time hourly and student employees; Provides assistance to contracted school district personnel
Remains a resource for part-time hourly, student employees, and other staff
Communicates processes and policies with staff and students; Monitors and maintains supply of forms for the department
Assists with collecting and reviewing staff timesheets and contracts
Performs all other job related duties as assigned

High School Diploma or General Equivalency Diploma (G.E.D.)?-AND-?Post-secondary academic coursework experience?-AND-?Six months of full-time equivalent work experience in an office setting
