The Institutional Equities Division is looking for an experienced Executive, Administrative or Sales Assistant to work as an Equities Sales Assistant.
- Liaise with New York on upcoming management teams coming to the West Coast. Manage logistics of corporate roadshows and field trips for Technology, Media, Telecom, Financials, REITs, Healthcare, Insurance and Energy sectors.
- Work directly with presenting companies as well as internal sales, research and banking teams to customize schedules.
- Organize and book event space, travel and meals for large-scale roadshows both domestically and internationally
- Plan large group meals to bring together investors and corporate management teams including venue and food selection, travel and audio/visual arrangements
- Maintain calendar of upcoming roadshows for both sales and clients
- Arrange all business travel for sales and trading
- Arrange conference calls between clients and analysts and management.
- Send research and models as requested.
- Provide telephone coverage back up for sales and handle urgent calls with appropriate judgment
- Create and process expense reports and process invoices from vendors
- Provide catering services when needed for sales/client meetings
- Process invoice payment requests for consultants, international conferences, and research vendors and facilitate research Obtain approvals for managers and associates to attend business related conferences and summits
