The office assistant is responsible for overall front office activities, including the reception area, email correspondence, payroll, invoicing, mail, large purchasing requests and facilities. Also responsible for directing and coordinating office services and related activities, including developing and supervising programs for the maximum utilization of services and equipment. Responsible for arranging internal office moves and providing arrangements for office meetings. Responsible for processing payroll, specifically entering hours from time sheets and following the time sheets through to invoicing clients. Expected to assist the V.P. and G.M. in all day to day functions of related business activities. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions. 1.Manages the reception area to ensure effective telephone, email and mail communications both internally and externally to maintain professional image. 2.Responsible for entering payroll on a weekly basis 3.Responsible for invoicing and following up with clients regarding time sheets and billing process. Work Environment This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines. Required Education and Experience Experience assisting in a related field is preferred but not required.Construction, staffing and/or scheduling experience is a plus. Experience in a fast-paced environment, the ability to work under pressure while still paying close attention to detail. Experience corresponding with clients by phone and email in a professional manner with little to no supervision.The ability to work independently and make decisions that are in the best interest of the company.Working knowledge of Quickbooks and the invoicing process.Experience processing payroll and ensuring the accuracy of employee pay.Ability to process and handle confidential documents such as employee records, owners personal documents and all related payroll documents.
