We are a residential / commercial floor covering business seeking a full time Administrative Assistant to join our team in a casual high energy environment. The ideal candidate will have experience in flooring along with exceptional office skills, strong attention to detail, excellent written and verbal communication skills, and the ability to multi-task efficiently.

Primary Duties - Assistant to Project Coordinator & Project Manager

JOB DESCRIPTION:

Full Time Position (40 hrs)
Pay Schedule: Biweekly
Dress Code: Casual - groomed/clean appearance

Possible Schedules:
A) Monday - Friday 7:30 am - 4:30 pm
B) Monday - Friday 8:00 am - 5:00 pm

* General administrative and clerical support ie: faxing, scanning... etc
* Answering & directing calls and messages
* Greet clients, receive deliveries
* Schedule appointments for Sales Reps
* Schedule and confirm installation dates
* Check & reserve stock
* Order flooring samples
* Manage flooring samples checked out
* Create estimates in Quick Books
* Create purchase orders in Quick Books
* Create work orders in Quick Books
* Data entry in Quick Books
* Filing job completed folders, entered invoices, paid invoices etc
* Create waivers ie: unconditional , conditional , progress and final
* Process submittals / closeout documents
* Schedule material deliveries / courier services

SKILLS & REQUIREMENTS

* Must have a great sense of humor
* Experience in Flooring (preferred)
* Experience in Quick Books (preferred not required)
* Experience in Microsoft Exchange
* Efficient in Microsoft Word, Excel
* Computer skills
* Ability to Multi-Task
* Ability to Prioritize
* Meet deadlines
