Arrow Solutions Group is seeking an Operations Assistant to work part time in Billings, Montana. This person will perform a wide range of administrative and operations tasks to support the work of a staffing company's sales and recruitment teams as well as the organization in general. Job duties will range from bookkeeping and payroll tasks to IT support and social media management. This is a very diverse role that is both challenging and exciting. All applicants must have outstanding communication, teamwork, computer and organizational skills in order to be successful in this position.
Job Duties and Responsibilities:
Perform a wide range of administrative tasks such as mail and email management, and updating and maintaining social media accounts.
Manage employee timecards by checking for accuracy, documenting time, and uploading timecards.
Provide Accounts Payable support through bill management (entering, documenting, and paying bills).
Manage liability payments, taxes, Workers' Compensation, and 401(k).
Track employee expenses and perform account reconciliation.
Support Accounts Receivable by receiving payments and generating and delivering invoices to clients.
Assist with a wide range of payroll functions.
Perform new employee management to include employment agreements, and entering or updating employee records (address, contact information, and direct deposit information).
Provide support for onboarding/off boarding of employees.
Assist the recruiting team with independent contractor management, to include agreement management and regular engagement with contractors.
Provide accurate and timely candidate reports that assist the recruiting team; i.e. aging report for submitted candidates.
Help with internal IT support, such as upgrading, troubleshooting, and vendor management.
Manage contracts and licenses by performing renewals and forming a schedule of expirations.
Work 20 hours a week onsite in Billings, Montana.
Experience / Qualifications:
Bachelor's degree in Business Administration, Operations Management, or a related field.
Minimum of four years of work experience in administrative or operations support roles.
Experience with Microsoft Office suite of tools (Outlook, Word, Excel and PowerPoint).
Experience in human resources or recruiting is a great bonus.
Demonstrated ability to interact with internal staff, candidates, clients, and external employees while providing a high level of customer service and quality throughout the process.
Strong computer skills with a general knowledge of IT functions and support.
Possess a desire to learn new tasks quickly and have a teachable attitude.
Excellent teamwork skills with a willingness to assist wherever needed in order to further the company.
