Position Overview

This role provides a diverse range of administrative support and sales operations duties to the Vice President of Sales, while also helping to ensure smooth internal and external communications and planning on behalf of the VP of Sales. This is a role will also support sales function with special projects and event planning as needed.

The person in this role must be a self starter that is able to interact effectively with employees, management team members, customers and other external contacts in a faced paced and dynamic environment. The successful candidate will be technology saavy, proactive and extremely detail oriented. This position requires a professional demeanor, sense of urgency, results focus, and the ability to keep sensitive material and conversations strictly confidential.

Key Accountabilities
Helps ensure appropriate time management of the VP of Sales by scheduling and organizing meetings, travel, and conferences. Resolve scheduling conflicts and prioritize internal and external meeting requests using own judgment and liaising with internal and external contacts as needed.
Facilitate effective cross functional communication on various topics on behalf of the VP of Sales and answer other correspondence by acting as a liaison between the VP of Sales and internal and external customers.
Proactively assists the VP in preparing for internal meetings, projects or events by understanding cross functional dependencies and needs.
Organizes and prioritizes incoming calls, mail and other request and responds to customers and contacts as needed via verbal or written correspondence.
May lead/act as manager of special projects on behalf of the VP or collaborate with other departments on special projects that require the VP's input/planning.
Generates reporting and analysis using and Excel regarding sales statistics and trends per the request of the VP or other departments.
Monitor and review day to day status of outside sales team including: calendar activities, expense report approval and proper usage of SFDC to enter notes, opportunities and other tasks.
Assemble monthly and quarterly VP of Sales metrics and report to VP of Sales actionable items
Day to Day POC with sales force on account related issues, order problems and other administrative tasks
Review, reconcile and submit corporate credit card expenses.
Conduct detailed review monthly expense report submissions for sales team and approve for submission to Finance.
Provide administrative support for a variety of activities including but not limited to -- documentation of annual sales and compensation plans, customer communications and mailings, contract review and updating.
Accurately maintain electronic and paper files.
Limited and occasional domestic travel as needed.
Serve as project leader for annual sales meeting to include agenda planning, travel and accommodation planning and booking and outing planning and coordination.

Key Competencies
Proficient with MS Word, MS Excel, MS Outlook & MS PowerPoint.
Experience using highly desired
Experience generating and creating reports using SFDC and manipulating and analyzing data in Excel
Ability to proactively coordinate and anticipate VP needs and ability to read expectancy of needs of others.
This position requires flexibility, with the ability to multi-task and prioritize
Ability to prioritize and work well with all levels of management
Ability to recognize and protect confidential and sensitive information and exercise strict discretion when disseminating or sharing information.
Strong interpersonal skills with the ability to provide excellent customer service to internal and external contacts.

Technology saavy, with the ability to utilize various communication software and mobile app tools.

Education & Experience

Associates degree.
Minimum of 3 years experience working in an administrative / executive assistant capacity, preferable supporting as senior sales executive.
