Sales Coordinator

RESPONSIBILITIES AND AUTHORITIES:

This position reports directly to the Business Systems Director. This is an hourly position in which overtime may
be required as determined and approved by the Business Systems Director. This position is primarily responsible
for customer service per established practices and/or policies within their job area to ensure customer
satisfaction. In addition to the listed responsibilities, there may be other responsibilities when required.

Contract Review / Customer Service:

??Enter customer orders and changes to orders and acknowledge to the customer (orders must be reviewed
and approved by applicable Project manager prior to acknowledging to customer)
??Maintain Sales Order Log and adhere to timely order entry goal
??Enter new customers after credit approval is obtained
??Maintain credit approval process (credit application received and forwarded to Accounting for approval and
follow up with accounting to ensure completion)
??Answer customer inquiries with regards to status of orders
??Generate commercial invoices
??Prepare NAFTA documentation
??Tooling, Tooling Modifications, and Samples Customer Invoicing
??Maintain Mold Folders
??Maintain shipping schedule in Magi
??Liaise and support Traffic Manager to drive on time shipping
??Print shipping schedules weekly for Traffic Manager
??Print out Pick Tickets and Packing Lists for Traffic Manager

Sales and Project Support
??Responsible for initiation of RFQ process for new and current customers
??Ensure new projects are approved by Management Team prior to quotation
??Responsible for quoting of existing parts, as assigned by the Business Systems Director, and obtaining
approval of quotes from Business Systems Director or designate prior to submitting to customer
??Quote folder preparation for all new part and/or existing part quotes
??Initial contact and information gather for all new part and/or existing part quotes via the RFQ Checklist
??Assign new quote numbers via the Quote Register
??Maintain Quote Register
??Maintain quote files
??Drive quote completion timeline
??Maintain official quote documentation records
??Project team support
??Handle projects as assigned by Project Team
??Initiate Bill of Materials Form for new projects, as assigned by Project Team
??Initiate Shop Order for new mold construction, mold repairs and changes
??Initiate Tooling Purchase Orders for new mold construction, mold repairs and changes
??Initiate Sample Request Form for new projects, as assigned by Project Team
??Initiate Project Management Tool Forms
??Initiate design review process and schedule meetings for new projects, as assigned by Project Team
??Initiate design timelines with approval from Project Team prior to distribution
??Complete and distribute Design Review Meeting Notes to assigned Team Members
??Responsible for action item review generated from design reviews
??Update PMO with new information

***Must have manufacturing/industrial/warehouse experience***
