We are currently seeking a full-time office administrative assistant for our Roseville Office. This position is responsible for preparation of accounting/expense schedules, assisting the office manager with administrative tasks including creation of letters and legal documents, answering telephone calls, calendaring appointments, maintaining filing systems (both paper and electronic), and managing case files.
Qualifications & Skills
Computer Skills -- Must have overall general knowledge of computers and be proficient in Microsoft Office, including Word, Excel, and Access database and have familiarity with Adobe.
Accounting -- Must be able to create and balance accounting schedules, analyze bank statements, audit expense reports, compute gain or loss on sale of assets, record interest and expense transactions, and determine compensation and distribution amounts based on stated percentages.
Job Duties include but are not limited to:
Prepare formal accountings/expense schedules
Assist in directing and coordinating law office activity, including calendaring appointments, monitoring and directing social media, marketing, and advertising.
Assist in managing case files by establishing and organizing files; ensure timely response to clients, monitor case progress, and confirm case status with office manager.
Input and maintain client information in Access database.
Assist in preparation of legal documents, including trusts, wills, advance healthcare directives, powers of attorney, and court documents.
Assist in preparation of affidavits or other documents, such as legal correspondence, and organize/ maintain documents in paper or electronic filing system.
Gather and analyze research data, including statutes, decisions, and legal articles, codes, and documents.
