Film Musicians Secondary Markets Fund seeks a professional to join our Legal/HR and Finance Departments. .A fantastic opportunity for an administrative professional with an interest in Legal, HR, or Finance. The Fund is a dynamic 501(c)(6) not-for-profit organization providing support to film musicians and the entertainment community worldwide by ensuring the collection, processing, and distribution of residuals generated by their talent and services. The Administrative Assistant works closely with the Fund's Legal/HR and Finance Departments to support a variety of functions, as well as assist other Departments as needed. This position requires a high degree of professionalism and discretion as it involves exposure to and handling of confidential Fund information. SUMMARY OF DUTIES AND RESPONSIBILITIES Provide primary administrative support to Legal/HR and Finance Departments, including but not limited to: Review monthly medical bills and track related information Complete and process verifications of employment/income, including but not limited to: requests from banking/financial institutions and various government agencies (i.e., IRS, Franchise Tax Board, EDD, SSA, Child Support Services)Assist with Legal and HR-related matters (e.g., documents and record-keeping; subpoenas; benefits, recruiting; other duties as assigned)Assist with Finance-related matters (e.g., accounts payable/receivable & payroll functions; audit and budget preparation; other duties as assigned)Prepare, edit, and format documents in Microsoft Word/Excel and Adobe Acrobat ProPhotocopy, scan, mail, and fax documentsMaintain department records, including organize, label, and fileFacilitate meeting preparation by compiling materials neededPerform other related duties to support the departments Provide secondary administrative support to Fund Operations/other Departments, including but not limited to:Assist with data entry, correspondence/mailings, and department projects Serve as back-up to Office Coordinator in handling general office tasks such as: mail (drop off, pick up, sort); screen front door vendors/visitors; sign for deliveries/route to recipients; answer Fund's main phone line and route calls; handle parking validations; coordinate conference roomsOther special projects as assignedREQUIREMENTSHigh School diploma required; Bachelor's Degree strongly preferred2 years related work experience preferredKnowledge of accounting procedures preferredProficient in Microsoft Office (Word, Excel, PowerPoint, Outlook) and Adobe Acrobat ProAdvanced Microsoft Excel skills preferred Knowledge of Microsoft Dynamics preferredExceptional analytical, critical thinking, and problem solving skillsMust be well organized, detail oriented, and a self-starter Must have integrity, honesty and ethical mentalityABILITIES/SKILLSAbility to maintain confidentiality and handle sensitive matters with discretionAbility to work independently as well as in a team environment Ability to work with deadlines, and learn concepts quicklyAbility to work on multiple projects simultaneously and prioritize workloadsEffective verbal and written communication skillsAbility to communicate with all levels of staffA positive attitudeAll applicants must be authorized to work in the United States.Equal Opportunity EmployerTO APPLY:Email cover letter, resume, and salary history Additional Instructions: Please type "ADMINISTRATIVE ASSISTANT, LEGAL/FINANCE-(your name)" in the subject line.NO phone calls please.
