Administrative Assistant

IMMEDIDATE HIRE

BrightStar of Chicago has an immediate opening for an Administrative Assistant. This position will report directly to the Branch Manager. Position attributes include superior customer service orientation, positive attitude with high energy and a welcoming personality, as well as, hospitality driven. Must have experience managing a high level phone system and have excellent computer skills including Microsoft Word, Excel, Power Point and Outlook. This position requires an individual who is detail oriented, task driven and can multi task.

ESSENTIAL DUTIES AND RESPONSIBILITIES
- Managing reception process, including:
Answer all incoming calls
Greet all incoming guests and announce to appropriate staff member
Maintain community calendar for office staff

- Office support including:
Maintain storage room for supplies
Responsible for vendor accounts and ordering supplies
Manage kitchen and lounge areas
Ensure case binders and folders are stocked and readily available
Scan and attach client forms, assessments, notes etc. generated from home visits
Assist with payroll and billing
HR responsibilities, as needed
Other duties as assigned

QUALIFICATIONS
High School Diploma required
Proficient in MSOffice (Outlook, Word, Excel, and PowerPoint); internet
Minimum of 2 years' experience working in office and customer service. Experience within a healthcare office, a plus
Excellent organization, planning, and project management skills
Negative TB skin test or chest x-ray
Transportation to meet the needs of position and scope of job responsibilities
Excellent phone voice - must be able to hear a smile!
