Member Relations/Executive Administrative Assistant
Provides administrative support for the Board of Directors, General Manager, and Chief Financial Officer.
A.Assist in scheduling GM's appointments/conferences.
B.Answers telephone, acts as a concierge when necessary. Greets visitors to Business Office.
C.Performs administrative duties (filing, copying, assembling, distributing, etc.)
D.Prepares Board of Directors and committee meetings: agenda, information, mailings, supplemental materials, minutes, supplies, reminder phone calls, name tags, etc. Maintains permanent files for Board of Director and committee information.
E.Maintains and orders inventory of office supplies.
F.Acts as expert for copier, mailing system and other office equipment.
1.Maintains file of service vendors
2.Makes all service calls
3.Learns machines and trains other staff.
4.Maintains adequate level of supplies for equipment.
G.Assist with membership mailings, including statements.
H.Effectively responds to member comments in accordance with club standards, policies and rules; uses ideas, feedback and suggestions to continuously improve the services provided to members. Directs member complaints and /or comments to the proper department.
I.Distribute incoming mail. Collect and post outgoing mail.
A.Responsible for updating, revising and monitoring the website on a weekly basis. Including monitoring department changes and activity by managers.
B.Send twice weekly e-mail marketing to members through website and Smartphone App updating the coming week's events.
C.Send out e-mails and push notifications to members as needed to announce schedule changes, repair schedules, etc.
D.Responsible for monthly member newsletter to include collecting information from managers, editing content and liaison with printer.
E.Create and post flyers on club member bulletin boards weekly.
F.Prepare table tents, menu inserts and other marketing material for dining rooms.
G.Create menus for all dining areas using Menu Lab software
H.Assist food and beverage management staff with creating special menus for wine dinners, beverage tastings and other events.
I.Create special brochures for club activities to include Youth Summer Booklet, Rites of Spring brochure, Christmas activities and others.
J.Maintain supply of club activities information to make available to members.
K. Complete new employee orientation to include, reviewing Employee handbook, completing all forms, creating folder, make name tag and conducting tour of club
Other related duties as assigned.
Proficient in Microsoft Word and Publisher.
V.Reports to Chief Financial Officer.
