Small architectural office looking for a part-time administrative person to take charge in organizing Principal and draftspersons in a fast paced architectural office. Problem-solving and analytical skills a must. Non-smoking office. Hours: 9am-1pm Mon.-Thurs. 16 hours/wk.
-Answering phones, directing calls and taking messages
-Working closely with Principal to prepare meetings with clients
-Type proposals, contracts, documents and letters
-Maintain file for follow-up of completed documents, client contact
-Maintain Principal's schedules and remind Principal of deadlines/appointments/meetings
-Obtain paperwork necessary for scheduled meetings
-Create new client files, maintain and organize existing files
-Maintain inventory of supplies, order supplies
-Assist draftsperson with any administrative needs they may have
-Other administrative duties as necessary
-Multi-tasking to get job done
-Excellent verbal skills.
-Min. 1 yr. experience in administrative environment
-Very effective organizational skills
-Efficient time management skills
-Strong communication skills
-Strong writing and proof-reading skills
-Strong knowledge and use of Word, Excel, Outlook
-Candidate must live within a 30 minute commute of Center City Philadelphia.
