To assist in the daily operations and administration of the office and perform receptionist duties in a high-paced environment.
Must be self motivated, friendly and out-going. Must be proficient in Microsoft Excel and Word.
Duties include but are not limited to:
To work in office Monday through Friday 08:00 AM to 5:00 PM. Clock out for one hour lunch.
Answer phones, both in office and during scheduled after hours phone coverage nights and weekends. (After hours calls must be logged on time sheet with date and times of all calls.) Receive $50 phone allowance per month while in the after-hours phone rotation.
Dispatch emergency calls.
General reception duties
Greet public and clients and direct them to the correct staff member.
Assist with scheduling mold inspections, estimates, testing, or final walk through appointments.
Office clerical duties.
Correspondence with customers, vendors, and various other points of contact.
Ordering, monitoring, and picking up of office supplies and materials.
Perform collections and maintain Accounts Receivable.
Maintain the call log and PSA.
Excellent telephone etiquette.
Excellent planning and organizational skills.
Maintain office filing and storage systems.
Distribute and file incoming mail.
Perform errands that assist daily functions.
Faxing, scanning, and copying of documents.
Co-ordinate and organize appointments and meetings
