We are seeking an Administrative Specialist for our client company in Medford, OR
POSITION SUMMARY :
Perform key administrative support tasks in areas of accounts payable and potential back-up for payroll. Responsible for greeting the public in person and on the phone while representing the company in a professional manner at all times. Answers and routes incoming calls, and screens and directs visitors to their appropriate destination.
ESSENTIAL JOB FUNCTIONS & RESPONSIBILITIES : Provides back-up support and vacation coverage to Accounts Payable and Payroll. Enters trucking invoices into A/P system for payment. Deliver, verify and file company purchase card statements for card holders. Assists A/R with daily deposits. Month end reconciliation and distribution of Cash Receipts Log. Temporary Labor tracking, including invoice reconciliation and month end accrual. Prepares monthly Financial Statement book for Managing Controller. Assists with year-end A/P and Payroll projects. Verifies that all hourly timecards are turned into payroll. Track & process Regional Donation requests. Maintains filing systems. Orders Office Supplies. Updates Company phone listings for Southern Oregon Region. Opens and distributes incoming mail, and date stamps all accounts payable invoices and other documents as requested. Processes all internal and external mail for pickup by courier service. Receives UPS and FedEx deliveries and distributes to designated employees. Reviews and approves UPS invoices. Greets and screens visitors as to the purpose of their visit. Announces visitor arrival for appointment, and directs them to the appropriate location. Receives incoming calls from multi-line switchboard and routes to appropriate extensions. SKILLS/QUALIFICATIONS/REQUIREMENTS : Requires a High School diploma or equivalent and two years of office experience; or an equivalent combination of education and experience. Experience in Accounts Payable, Accounts Receivable and Payroll preferable. Must have strong computer and data entry skills, including competence with Microsoft Word, Excel and email. Must be able to communicate well both verbally and in writing with all levels of personnel and management.
