We are a busy pediatric dental practice seeking a full time office manager. We consider our staff as a second family, so we are looking for someone who wants to grow with us and maintain our practice for many years to come. Multiple employees have been with us for 10+ years, and we'd love to find another person to take us into the future.
Our practice sees children ages 0-18 from all corners of Alaska whether they fly in from remote villages, drive in from the valley or up from Seward, ferry from Valdez, or come from right here in Anchorage. We appreciate every family that chooses us as their dental home, so we are looking for a manager who is a warm, compassionate, bubbly and caring person to help meet our patients' needs.
The skills/experience/qualifications required for this position include:
-Computer skills including MS Word, Excel, and the ability to learn dental charting software (Open Dental)
-Basic math and accounting skills to be able to take payments, help with payroll, and calculate insurance co-pay
-Conflict resolution skills, whether it is helping a disgruntled parent or resolving issues amongst staff
-Excellent communication skills, both in person and over the phone
-Proficient with spelling, grammar, reading and writing
-Problem solving and multitasking skills
-Ability to give and receive constructive criticism
-Exceptional organizational skills and highly efficient
*Previous management experience is beneficial but not required. High school degree is required, college degree is desirable but not required. Previous experience in a dental/medical office is beneficial but not required
The duties and responsibilities of our office manager include, but are not limited to, the following:
-Answer phones friendly and professionally
-Arrive early to open the office, check messages, and deal with any staff issues (sick, late, etc)
-Welcome/greet our patients and parents, help parents fill out paperwork, and help the families check out
-Make sure the lobby is comfortable and tidy
-Dress professionally and have a positive and upbeat attitude
-Manage our staff schedule and patient schedule, help manage our inventory/supplies, keep records of when certifications need to be renewed, and make sure the office stays up to date with OSHA and HIPAA guidelines
-Enter patient information into dental software, verify insurance coverage and eligibility, take payments, schedule appointments, and manage referrals***
-Clerical duties (scanning, copying, faxing, filing)
-Help with payroll every other week
-Help lead office discussions during staff meetings
-Liaison between doctors and staff
-Maintain relationships with other offices (orthodontists, pediatricians, general dentists, etc)
-Manage contracted work relationships (vendors/suppliers, IT support, cleaners, labs, etc)
-Delegate responsibilities to staff in order to keep the office clean, organized and well stocked
-Run office errands (grocery store, office supply store, Costco, etc) when necessary
-Plan office parties for holidays and birthdays
-***Manage our surgery schedule: we get referrals from the village and other offices daily and we have limited surgery availability. This job requires a lot of phone calls, paperwork, and efficient planning. Currently we have 2-3 employees trying to help with this schedule but we really need one person to take the lead on it.
All candidates who meet or exceed the above qualifications or have relevant experience will be contacted. Successful candidate may be required to pass a comprehensive background check. Compensation for this position depends on experience, but at a minimum will start at $20/hr. Benefits for full time employees include paid vacation, 401k and profit sharing, health insurance (if needed), holiday pay, overtime pay and bonuses.
