Our client, a Financial firm in Lake Oswego, is currently seeking an Administrative Assistant to join their team.
This individual will be supporting traders and partners through prepping paperwork & documents, processing paperwork, assisting with client calls, and general account maintenance.
Appointment prep - printing out reports for the meetings, preparing paperwork (applications, docs)
Checking CRM to verify client information is up to date and making any changes
Transferring accounts and following up with these to confirm receipt of all assets
Computer and phone work (communicating with client, internal team and mutual fund companies)
Problem solving (investigating and digging for information) - quite a bit of research involved.
Updating client contact information such as addresses, phone numbers, and email addresses
Updating client financial profile information (net worth, liquid assets, income and investment objectives)
Sorting and handling incoming or outgoing mail
Receiving acceptable forms of deposits or securities and forwarding them for processing on the date received
Enter information via home office website after it has been gathered by an advisor
Create accounts as a data entry function via home office website
Data entry into the Checks and Securities Log
Data entry into Direct Order Entry as instructed by an advisor
3-5 years of administrative experience
Industries preferred: financial, legal, medical, banking, real estate, mortgage, or accounting
Computer experience, including Microsoft Office Suite (Excel, Outlook, Word)
Proven attention to detail in previous roles
Ability to work in a high energy environment
Professional communication, written and verbal
Ability to take feedback for opportunities for improvement
Previous experience working under deadlines
ACT experience preferred, also Morning Star
Bachelor's Degree not required, but preferred
This is a contract position to cover a leave of absence; however there is a strong possibility of this position going permanently.
