MacElree Harvey, a mid-sized law firm based in West Chester, PA has an opening for a Floating Legal Assistant
Reports to the Director of Human Resources, this position covers absences by sitting at assigned workstation of Legal Assistants/staff who are out to provide needed support to attorneys.
Creates, typos, edits, and compiles documents and correspondence, including email and faxes.
recieves and transcribes legal dictation form draft or dictated text. Prepares and processes legal documents with courts and other agencies.
Manages and maintains calender for attorneys including clients meetings, court dates and times and other appointments. Arranges for conference rooms as needed.
Answers phones and provides infomation in response to telephone calls.
Reviews, sorts, date stamps and scans incomming mail. Ensures the effective delivery of outgoing messenger deliveries and overnight deliveries.
Responds to and assists clients by answering questions, providing infomation and assuring appropriate follow-through and/or resolution.
Organizes and maintains case files, pleadings and other documents.
May enter attorney time, reviews billing, conducts conflict checks and preparation of new matter memos.
Prepares and maintains electronic and hardcopy files. Scans and stores documents according to defined procedures.
Provides back up support to Receptionists as needed, including branch offices.
recieves direction form management who prioritizes administrative support needed for the Firm.
Handles opening and closing of files and keeps files orderly.
May makes copies upon request.
Handles other duties as required.
knowlege and Skills:
High school diploma with minimum of 4 - 6 years administrative experience within a law firm.
Computer proficient with working knowlege of MS Word and MS Excel required.
Ability to work with complex, heavily coded documents and produce documents form transcription with accuracy.
Must maintain acceptable attendance record.
Ability to travel to branch offices in Kennett Square and Centreville, DE to also provide coverage as needed.
Must be organized, detail oriented with the ability to multi-task.
Working knowlege of Outlook and iManage or similar document management system required.
Keyboarding skills of 70 wpm or higher required.
Ability to work with frequent interuptions and adapt to changes in workflow. Must possess a positive attitude.
Ability to organize and prioritize numerous tasks and complete them under time constaints.
Ability to proofread typod material for contextual, grammatical, typographical or spelling errors.
Interpersonal skills neccessary in order to communicate in person, by e-mail and telephone and follow the instruction effectively form a diverse group of clients, attorneys and staff and provide infomation with ordinary courtesy and tact.
Ability to operate standard office equipment such as computer, photocopiers, fax machines, and typowriter.
